How it's calculated
Each day's hours are the time between start and end, minus the unpaid break. If the end time is earlier than the start, the shift ran past midnight, so 24 hours are added to the end time.
With overtime on, the first 40 hours of the week are regular and anything past 40 is overtime at 1.5 times your rate.
Day hours = (end − start) − break
(end before start: end + 24 h)
Regular = min(total, 40) × rate
Overtime = max(total − 40, 0) × rate × 1.5
Gross = regular + overtime
Example: 22:00 to 06:30 with a 30 minute break is 8 h 30 min minus 30 min, so 8.00 hours.
Questions
How do I turn minutes into decimal hours?
Divide the minutes by 60. 15 minutes is 0.25, 30 is 0.50, 45 is 0.75. So 7 hours 45 minutes is 7.75 hours. Payroll usually multiplies your rate by the decimal number.
Should paid breaks go in the break column?
No. Only put unpaid time there, like a 30 minute meal break you clock out for. Short paid rest breaks stay part of your hours.
My employer rounds punches. Will this match?
Maybe not exactly. Many payroll systems round to the nearest 5, 6 or 15 minutes. Enter the rounded times from your timecard if you want to match your check.
Does a shift past midnight count on the day it started?
Here, yes: the whole shift is counted on the row where it started. Some employers split it at midnight, which can matter for daily overtime or a workweek that ends at midnight.
